 Application Terms and Conditions

GENERAL TERMS: This application is an on-going project of the ASWF made available for discretionary use IAW user responsibility for all regulatory/operational compliance. Currently, this application is not an official or enduring Army application. Thus, to use this application you acknowledge: (1) availability of the application may be discontinued; (2) Army regulation and required operating procedures still has precedence: this application does not replace or supersede any/all requirements governing your activities; (3) RECORDS AND DATA: you are responsible to integrate your use of this application into your organization's records and data management plans; and (4) PII: you may not introduce PII into the application without prior approval from the ASWF; you are responsible for your introduction and use of PII within the application IAW the Privacy Act and applicable Army requirements.

Your use of applications within the ASWF platform must comply with the below standing Army requirements. You are responsible to properly advise any users you authorize.
  1. DATA: Up to IL-4 CUI Only.
  2. RECORDS: ASWF Platform is not a record keeping system. You are required to maintain any records in accordance with AR 25-400-2, and Army Records Information Management System (ARIMS) requirements. You must inform us of your data and records management requirements. On request, we can advise you how to extract data. Your records compliance must account for the possibility of ASWF applications being discontinued.
  3. PII: All PII use must be within your approved mission authorities and parameters.
    1. The ASWF platform operates under an approved Privacy Impact Assessment (DD2930). You may only introduce IL-4 PII of categories approved by the ASWF. You are responsible to advise ASWF of the categories of PII you will introduce into the application and for ensuring Privacy Compliance with respect to the collection, maintenance, or disclosure of Personally Identifiable Information (PII) within the ASWF environment.
    2. Do not introduce any PII of members of the Public (to include contractors). You may process PII from Federal employees (Mil/Civ) only. Do not introduce any PHI.
    3. IAW the Privacy Act and AR 25-22 Chapter 3, if you will retrieve personal information from the application by name or identifier unique to an individual, that retrieval and use must be IAW an approved System of Record Notice (SORN).
    4. IAW the Privacy Act and AR 25-22 Chapter 5, If you will ask an individual to input their PII into the application to be maintained in a SOR, you must provide that individual a Privacy Act Statement (PAS) IAW the AR-specified format using one of its authorized means. You must advise ASWF if you need a PAS added to the application. The PAS is not application specific. It is identical to your existing PII collection process (e.g., on DA Form).
